Prepare Business Information for a WhatsApp AI Assistant

An AI assistant is only as dependable as the business information it is allowed to use. Before automating customer replies, organize the facts your team trusts and define what the assistant should do when an answer is missing.

Create one approved source for routine answers

Collect the information a teammate already uses to answer frequent questions. Depending on the business, that could include opening hours, service areas, product descriptions, appointment requirements, accepted payment methods, or the details needed for a quote. Give every item an owner who can update it.

Separate facts that stay stable from information that changes often. Prices, stock, promotions, and delivery estimates need a clear update process. If a value may be out of date, the assistant should ask a teammate rather than present it as current.

  • Use plain language and keep each answer focused on one question.
  • Add the date and owner for information that changes.
  • Remove duplicate or contradictory answers before making them available.

Write down policies and boundaries

Document what the business can confirm and what requires approval. A general returns policy may be safe to explain, while a request for an exception needs a person. A standard service description may be clear, while a custom recommendation may require a specialist.

Define when the assistant must stop. Include direct requests for a person, complaints, uncertainty, sensitive cases, and decisions that require authority. Tell the assistant how to explain the handoff in a calm, honest way.

Collect only the details needed for the next step

Decide what information the team needs before it can help. A quote request may need product, quantity, and timing. A booking enquiry may need a service and preferred date. Ask for those details in a natural order and explain why they help.

Do not add sensitive or unnecessary personal information to an AI knowledge source. Keep business facts separate from customer records, and follow your organization’s privacy and retention practices for any customer data.

Review the source material regularly

Assign someone to review approved answers when a service, policy, price, or operating detail changes. Test common questions and edge cases before expanding the topics the assistant can answer. When teammates correct a response, update the approved source and the boundary that allowed the error.
